9 Essential Types of Business Writing You Should Master

In the business world, the majority of communication is written, making it important to master business writing. Effective business writing will ensure you are clearly understood, as well as showing respect for the receiver. It will make you stand out as an intelligent, credible, and confident employee.

1. Emails

Emails are a quick, cost-effective way to communicate with your employees, co-workers, clients, and customers. They’re one of the most used methods of communication in today’s business world, so it’s important to make sure your emails make a good impression. The following tips can help you hit the mark.

  • Write a clear subject line.
  • Keep it short and simple. Avoid unnecessary adjectives and long-winded ways of making a point. As Amanda Goldman, synthesis essay outline writer at SolidEssay.com says, “Be ruthless about self-editing; if you don’t need a word, cut it.”
  • Avoid jargon and big words when possible.
  • Use full words. Don’t use shorthand, emojis, or internet slang.
  • Use a professional sign-off.

 2. Reports

Reports can be used to convey important information, attract investors, and set goals and plans for the future. Writing a good report can make sure your readers make it to the important stuff. In reports, formatting can be almost as important as content. Jessica Miller, APA outline expert at ConfidentWriters.com, recommends the following tips to make sure you get the right flow as well as content.

  • Think about the who, what, where, when and why before you start writing.
  • Organize your ideas logically:
    • Introduction
    • Purpose
    • Research
    • Conclusion
    • Call to action
  • Use lists to pull out important information.

 3. Memos

Memos are commonly sent via email today. They can be used to make announcements, convey changes in policies or procedures, or as reminders. They can be very useful tools for a manager when used effectively in the following ways.

  • Write a subject line that tells the reader’s what the memo is about.
  • Get to the point immediately. Supporting facts follow.
  • Identify the problem and propose a solution.

 4. Handbooks

Employee handbooks are hugely important. They ensure everyone is on the same page as far as policies and procedures are concerned and give employees something to refer back to if they ever need to. According to Brian Wilson, HR Director at Example Papers, “making your handbook employees actually want to read can really elevate it to the next level and help ingrain those policies into their heads.”

  • Open with your company’s mission statement. Get employees excited about your core values.
  • Rather than just telling employees what policies your company enforces, tell them why. What are the reasons behind each policy?
  • Include perks in your handbook.
  • Think outside the box. Make the handbook fun so employees want to read it.

 5. Newsletters

Internal newsletters can be used to get news to your employees that are interesting or valuable but not necessarily time-sensitive. External newsletters can help grow your client base and garner interest, but how do you write an effective newsletter?

  • Know your audience. What’s important to them?
  • Choose the most important information, like product updates, changes in benefits, or job vacancies. Don’t cram in everything.
  • Use visual elements such as photos or infographics.

 6. Press Releases

A press release can be a great marketing tool, especially for small businesses. It’s a free way to get your message, event, or opening into the public eye. It’s important to write an engaging one so the media will be engaged.

  • Start with a great opening sentence and then who, what, where, when and why.
  • Keep it to one page if possible.
  • Use search engine optimization keywords.

 7. Meeting Agendas

Setting an agenda can make or break your business meeting. Having one keeps the meeting on track, ensures the important topics are covered first in case anyone has to leave early, and minimizes wasted time.

  • Start simple. What time is it? Who should go? Where?
  • Establish the objective in one or two sentences.
  • Schedule topics from most important to least and allot time based on content.
  • Keep it to under five topics.

 8. Resumes

Never underestimate the value of a good resume. It’s often the first impression a potential employer has of you. It should be a detailed summary of your qualifications that presents you in the best light possible. The following tips by Ashley Summers, resume writer at SwiftPapers, are just a few of the most important ones you should take into consideration when writing your resume.

  • Keep it consistent and double check spelling and grammar.
  • The font size should be between 10-12.
  • Focus on the job you’re applying for and highlight the skills that qualify you for it.
  • Check your spelling and grammar again. Nothing gets a resume tossed out faster than typos.

 9. Cover Letters

A cover letter allows you to highlight qualifications and enthusiasm for the job that you may not be able to with just a resume. You can add in relevant skills from your personal life that make you perfect for the job. Cover letters can be difficult, but here are a few suggestions to help you get started:

  • Research the company’s challenges and culture.
  • Start with why the job is exciting to you. Be enthusiastic.
  • Address the letter directly. You may have to do some research to find the name of the hiring manager.
  • Customize your letter to each job.

With any business writing, it’s wise to use plain language, stick to the point, and proofread, proofread, proofread. Always use a professional tone but think outside the box and try to make it something people actually want to read. Use these tips to help you master the art of business writing for your career.

Top 8 Life Lessons from Dr. Seuss To Get You Inspired Now

Dr. Seuss may have done most of his influential writing in the 40’s, 50’s, 60’s and 70’s – but even though his most popular titles are more than 50 years old, some of the life lessons they contained still ring true today.

Dr. Seuss didn’t always just write children’s books. He studied English literature and spent his early career working on various forms of writing, including political cartoons and war posters. He felt a great sense of pride in conveying important messages, which is likely why his popular children’s books offer such influential stories.

Here are 8 life lessons you can learn from the various works of Dr. Seuss.

1. You Can Make a Difference

There’s no greater influence you can have on someone than to show them how they can personally make a difference. It’s easy to push decisions aside thinking that they don’t matter in the grand scheme of things. After all, you’re just one person, right?

In The Lorax, Dr. Seuss teaches us that we can make a difference if we show that we care. He impresses on the reader that if people don’t care – people like you – nothing will ever change.

2. Be Yourself

This is a recurring theme you can find throughout his books, but nowhere is it more evident than in Happy Birthday to You!

“Today you are You, that is truer than true. There is no one alive who is Youer than You.”

You’ll find this message in many of his characters and books. He really tried to show young people that they’re original and that’s better than ok – it’s who you are, and the world needs someone just like you.

3. Look at the Brighter Side of Things

In One Fish Two Fish Red Fish Blue Fish, Dr. Seuss explores the complex life topic of looking for the good in everything:

“From there to here, From here to there, Funny things are everywhere.”

And

“Today is gone. Today was fun. Tomorrow is another one.”

It’s about living in the present and really exploring the positive aspects of life. It’s really easy to get caught up in the negative things and think tomorrow will be bleaker than today. Dr. Seuss really tries to get us to think differently about today, tomorrow, and every day.

4. It’s Not All About You

It’s especially difficult to get children to understand that not everything is about them. However, you see this more in adults these days than ever before. Wallowing in your own sorrow will not get you anywhere. Dr. Seuss knew this better than anyone, and made it a central theme in Did I Ever Tell You How Lucky You Are?

“You ought to be shouting how lucky am I. Some people are much more, Oh, ever so much more, Oh, muchly much-much more unlucky than you!”

Look outside your own bubble and you’ll see how much better you have it than a lot of people that are out there struggling. Understand what you have and be thankful for it.

5. Try New Things

If there was ever a writer that tried to push people into new and exciting ventures, it was Dr. Seuss. One read through Green Eggs and Ham and this becomes abundantly clear.

“Say! I like green eggs and ham! I do!! I like them, Sam-I-am!”

Trying new things isn’t always easy, but it’s important that you don’t dismiss them before trying them. You may even surprise yourself with the things you like. The worst part about never trying something is you may never know if you could be missing out on the best thing in the world.

6. Use Your Imagination

Creativity is abundant in the works of Dr. Seuss. He wanted children to use their imagination and know that they were capable of almost anything they can dream up.

“Think left and think right and think low and think high. Oh, the thinks you can think up if only you try!”

That excerpt from Oh, the Thinks You Can Think really gets to the heart of the matter, even though you can find this mentality in almost any book that Dr. Seuss penned.

7. Equality for Everyone

A rather large topic for a children’s book, but Dr. Seuss hits the nail on the head in Horton Hears a Who! Complex themes like racism and prejudice were very difficult to tackle in the ’50s. In 1954 this book tackled it head-on.

“Don’t give up! I believe in you all. A person’s a person, no matter how small!”

Probably one of the more powerful lessons you’ll find in his book is that everyone is equal. No one person is better than the other. He hammered this point home time and time again, while other leaders of the day were pushing for the opposite. This meant his work at the time was more important, and difficult, than ever.

8. There’s a Time for Work, and a Time for Play

There comes a time in everyone’s life where work begins. This is usually younger than most people would like. Usually beginning with chores and helping around the house, but continuing into adult life. In The King’s Stilts, Dr. Seuss expresses the importance of work and play.

“And when they played they really PLAYED. And when they worked they really WORKED.”

The important thing we’re taught here is how important play and relaxing is. In fact, it’s no accident that it comes first – before work – in the structure the doctor use here.

Writing is a very difficult career, and as this list shows, many people can’t do it all. This is why so much of what Dr. Seuss wrote is relevant today: not many can do what he did in the way he did it.

We can all learn something from the many works of Dr. Seuss. We just need to use our imagination, and revisit a book or two!

How I Joined Toastmasters IDEST The Public Speaking Club

It is said that fear of public speaking is one of the biggest human fears all around the world. In my case, it was on top 3.

At the workplace, I was able to frequently avoid the times when I had to speak in front of an audience. That’s an art! But, of course, there were situations when I couldn’t do this and I was forced to present a speech.

These situations pushed me to face my fear of public speaking and to join the program TOASTMASTERS, one year ago.

For those of you who don’t know, Toastmasters International is a top global organization which has the purpose to develop the ability of public speaking and leadership all around the world.

Through its clubs, Toastmasters International helps people to learn the art of public speaking, active listening, and critical thinking, in order to increase the personal development and leadership potential.

I have chosen the club Toastmasters IDEST  https://m.facebook.com/toastmastersidest/  due to its members who create a friendly and supportive environment at every meeting. Firstly I have visited the club, just as a guest, observing the roles and the speakers, but I wanted so much to find out of what I am capable in this domain, that I became a member. I have scheduled my first speech and when that day came, the panic didn’t let me think of something else. Surprisingly, with all my emotions, the speech was appreciated by the audience. I know that because every speaker received from the public a ticket with their feedback. So the appreciative, but also constructive feedback I have received, made me continue with speech after speech. After only one year I have presented 10 speeches, in which I have practiced organizing a speech, gestures, vocal variety, research or persuading the audience. At the end of these 10 speeches, I have reached the level of „Competent Communicator” and I have received a certificate from Toastmasters International. I was so proud when I had it in my hands!

Meanwhile, at some meetings when I didn’t deliver any speech I assumed the leadership roles, like Toastmaster of the meeting, Grammarian, Timer, Evaluator. This leadership part is the other branch offered by the Toastmasters program, near the public speaking.

From the beginning, I liked these leadership roles and my favorite is Toastmaster of the meeting, the person who presents and leads a meeting. I like this role because I can choose the meeting theme and I can bring something new from one meeting to another.

So, very soon, my effort of assuming leadership roles will be rewarded with another certificate from Toastmasters International: „Competent Leader” and I can’t wait!

Although I feel the improvement on my public speaking, and also on my leadership skills, my journey doesn’t stop here. I have a long road until I became „Advanced Communicator” and „Advanced Leader”.

If you are also interested in personal development, public speaking or leadership you can visit the club Toastmasters IDEST, every Monday from 19.30 at the address Lt. Ionescu Balcan Street, no. 24, 2nd district, Bucharest, Romania.

Toastmasters IDEST Members

Participation at meetings, as a guest, is free.

This program helped me a lot and even if I still have emotions, now, I don’t run from presentations at my job anymore. I know I will always have emotions, but I don’t have to hide them, just to control them, because this is what defines me!

How Writing a Novel Helped my Friend to Find Herself Again

I had heard that writing could help you to improve yourself. And not only in the sense of giving you the tools required to get a new job or better grades at school. But also as a person.

That when it is only you and a piece of paper something magical and also scientifically proven can happen, that your mind just takes a turn for the best.

What I didn’t expect was that writing a novel would have such an impact on my friend’s life.

This friend of mine had always been quite shy and insecure. Confidence wasn’t one of her strengths, really. Since childhood (as we lived in the same neighborhood), I had seen her struggling to make friends, to speak her mind, and to get what she wanted.

It was usually I who had to make a stand for her. I would notice her embarrassment (what wasn’t really hard to spot considering she would turn herself into a beetroot), and there I was, from asking to buy something over the counter to defending her against the newest bully in town.

It was never a problem for me to do it for her, to be honest. I kind of liked it. But as soon as I started getting a bit older, and with a bit more of sense, I began to worry about what would be of her in the future.

It wasn’t like I could be with her on a date or a job interview, for example. She would have to learn to say what she needed to say and to do what she wanted to do by herself.

And yet nothing much changed until we got into our 20s. We were both attending the same college, but I had enrolled myself in Marketing studies while she was doing Literature and other things of the genre.

I am not afraid to say that the only thing that I could think at that stage was how she was planning to get a job with that sort of knowledge because it wasn’t like she was going to be a teacher. She wouldn’t be able to speak in front of a class full of students, I was sure about it.

But, one day, she came to me and told me that she was writing a novel.

My first reaction was “oh, well, another thing to get her even more isolated”, but then she started telling me about the plot, a story about a young girl who had been kidnapped and was trying to deal with her feelings of fear and despair by writing a journal.

She said she had found inspiration on Anne Frank’s story, the German-born Jewish girl who wrote a remarkable diary while hiding from the Nazis. She thought it was impressive the way that Anne managed to leave so many inspiration to us and to keep such a positive image of human beings despite what she was going through.

But what I had got more impressed about was how similar was my friend’s book’s main character with herself. I could see how she was pouring her own soul in those pages, that the girl’s words were her own, that her dreams were my friend’s so-long-forgotten dreams.

Over the time that my friend spent concentrated writing her novel, I also noticed an improvement in the way that she thought about almost everything. She sounded less confused, her speaking was more clear and direct, and she even sounded a bit more confident.

Thanks to the criminal plot she was working on, I believe she became more capable of thinking logically and seeing problems and challenges from a new perspective. But, more than anything, she sounded happier and motivated.

I understand now that examining her own feelings carefully, but under the impression that she was talking about someone else’s life, my friend set herself free. She released her frustrations and started managing to say what was going on in her mind without fear.

Not that she has changed from water to wine, but the improvement is there for anyone to see. I wasn’t the only one noticing her confidence blossoming out, as our other friends and even her teachers were impressed by her progress.

So I am sharing this with you so you can also give it a try. Don’t worry if you don’t have an original idea to write about Set fire on the pieces of paper after you finish your story if you like.

Just grab a notebook and a pen, or your laptop, and start writing any piece of fiction you might like. The benefits of this decision will remain in your mind and in your heart from that moment, and so on.

PS: Please leave a comment below and tell me if you have ever written a novel and then realize that the novel is a lot about you?

Top 3 Tips On Succeed When Fighting Against the Odds Now

Success rarely comes without any challenges or hurdles.  It is far too common to see people succeeding after a reasonable delay. So what’s so special about inspiring success stories? How to succeed when fighting against the odds?

Once in a while, we come across individuals who rose from anonymity and the depths of despair to become a scion of success and inspiration. These people succeed when the odds are stacked against them when the chips are down and all seems lost. This kind of success is sweeter than anything else in the world. Would you want to know how do they do it?

In order to know how to rise against the odds, we must know why most people cannot do the same.

Why do we give up?

People give up easily when the going gets tough because they are afraid of failure. We all come across a point in our lives when we fail numerous times and nothing we do seems to work for us. These are the times when we have to push ourselves the hardest and tap into our mental strength to see those failures eventually become a success.   It takes years of training to think positively and for the brain to have that mental strength. There is a lot of hard work involved and it is something that people are afraid of when it comes to following their dreams. No one is willing to put in the required time, effort, and patience to endure the hardships.

Until all people are willingly going to accept the fact that nothing comes without a price in this world, there will be fewer success stories and more people listening to them.  If you think you have little time to develop your mental strength owing to your regular job or any other work, think again! We all were given an equal number of hours and seconds in a day, it’s only a matter of some utilizing it to its best, while others just not being able to manage it properly.

We also give up because of being surrounded by discouraging emotions and people. Hearing negative things about our capabilities and that too on a consistent basis can lead many of us to actually believe in them and hence becoming weak enough to give up easily, sometimes, even without trying. You must develop a strong willpower to remain unaffected and immune to what others are saying. Plus, choosing your friends wisely can help a lot. Stick around people who are successful and have nothing but positivity to offer. Mere observation of such personalities can teach you a thing or two about fighting against the odds

Another big reason why our lives blow up in the face under tough circumstances is our lack of patience. It’s a huge struggle for us to be constantly patient especially when nothing seems to be going according to plans. Our impatience either makes us do something stupid or leads us to give up before the goal could have been achieved.  Changing this habit can make a lot of difference.

What needs to be done?

The first thing that one should do when a storm comes is hold the ground. The same is true for you as well. Instead of getting bogged down, it’s important to create processes and methods to get yourself out of the rut.

1. Be creative

You must have heard that tough times call for tough measures. However, tough measures without any thought going into them cannot help you out. You have to be creative with your solutions when there is little that you can do to change your situation. Before you take any decision, you need to have multiple ideas in mind. The first alternative that comes to mind in such a situation is pretty obvious that has been used earlier also. However, if the solution would have been so simple, you wouldn’t have probably called it a tough situation.  Truly creative alternatives remain hidden in the depths of the mind which require too deep and persistent thoughts to be revealed.  See the bigger picture; you may discover something that can help you.

2. Find support

As you look back at your life, you would find that all your success had some minor or major contributions from someone you knew. Asking for help during tough times won’t make you appear weaker. There are too many of us who suffer in isolation, just because we are afraid of asking for help. By hiding our hard times from our connections, we will end up feeling more miserable. Everyone faces challenges in their lives and if you share them with people you know, it can become easier to overcome them. Always remember, you are seeking support today, however, you can always return the favor when the time comes.

3. Keep feeding your mind with positive thoughts

Just like the body needs all sorts of healthy food to recover from any illness, the mind also requires a healthy dosage of positive thoughts and inspiration to face challenging times. Talking to leaders, achievers, and successful people who have fought against the odds in their lives is a good way to start. Reading their biographies or their articles will also help you prepare effective strategies to face challenging situations.  Feeding your mind with positiveness will do a lot for increasing your mental strength and as they say, most wars are won or lost in the minds before they are fought on the battlefield.
